Intelligence gathering and analysis make up another important stage in upgrading to an automated workforce-management system.

In the sixth chapter of Kronos Canada’s online guide to making workforce management more efficient with technology, the company discusses the role that intelligence gathering and analysis play.

Kronos’ online resource, the Kronos Workforce Management Toolkit, is a seven-step guide to making the full transition from an outdated employee-management system to the next generation of workforce-management technology.

Areas of potential cost savings

Intelligence gathering and analysis are vital to building a business case for an automated workforce management upgrade. One must have a grasp not only of the root causes of workforce-management problems, but also of how technology can improve things. So it is important to do thorough research and analyze the facts.

The Kronos Value Assessment is a convenient method of getting a comprehensive view of an organization’s workforce-management system and processes. The company cites a past assessment of the Roads Business Unit of the City of Calgary’s Transportation Department, an evaluation that revealed that the unit could save more than $700,000 a year. These potential savings came under five areas:

  • Manual errors in calculation and input, including miscalculated hours and pay rates;>
  • Pay inflation, due to timecard mistakes and incorrect rounding;
  • Inflation of leave balances, including inaccurate manual processing of worker leave time;
  • Issues with supervisor time and productivity, due to manual workforce management distracting supervisors from important duties; and
  • Unnecessary overtime with no insight into the root causes.

Kronos’ assessment was so successful that Miles Dyck, the unit’s business-services manager, said that the analysis saved “many, many hours it would have taken to gather and analyze the data ourselves.” He predicted that the workforce management upgrade would return its investment “in three years.”
